Conference Table Space Planning Guide

Choosing the right conference table isn't just about how many people it seats—it's about making sure everyone can move comfortably around the room before, during, and after meetings.

Allow 3 Feet Around the Table

As with desks and workstations, plan for a minimum of 36 inches (3 feet) of clearance around all sides of the conference table. This provides enough room for people to:

  • Pull out their chairs comfortably.

  • Sit down or stand up with ease.

  • Walk behind someone who is seated without disturbing the meeting.

Think of your dining room table at home. You need enough room to pull your chair out and for someone to walk behind you without bumping into your chair. The same principle applies in every conference room.

Extra Space at the Ends Matters

Whenever possible, allow 42 to 48 inches of open space at each end of the conference table.

This extra space makes it easier to:

  • Walk into and around the conference room.

  • Access seats at the ends of the table.

  • Prevent the room from feeling crowded.

  • Accommodate a TV, monitor, presentation screen, or video conferencing equipment without blocking walkways.

If your conference room includes a large display or presentation screen, the additional clearance also provides a more comfortable viewing distance and keeps cables, equipment, and presenters from interfering with traffic flow.

Plan for the Entire Room

A well-designed conference room should provide space for:

  • Comfortable seating and chair movement.

  • Easy access to every seat.

  • Presentation screens or TVs.

  • Whiteboards or presentation areas.

  • Power and data access for laptops and devices.

  • Smooth traffic flow before, during, and after meetings.
